What is EVANU Einlass?
EVANU Einlass is a web platform for registration, guest management and event check-in. It supports your event from a guest’s registration through to admission at the venue.
Forms, participant data, email communication, personal QR codes, reminders, statistics and the scanner are part of one connected system.
What types of event is Einlass suitable for?
Einlass is deliberately not limited to a single type of event.
You can use the platform for corporate events, client functions, conferences, media events, networking, presentations, galas, internal events, VIP events or invitation-only events.
Einlass is particularly useful when different guest groups need to answer different questions or receive different information.
GeneralDo my guests need to install an app?
No. Your guests register on a normal web page. They don’t need an additional app.
The personal QR code is displayed directly in the confirmation email, for example, and can simply be shown on a smartphone at the event.
GeneralDoes registration also work on a smartphone?
Yes. The public registration page is designed for desktops, tablets and smartphones.
Form sections with multiple columns also adapt to smaller screens, keeping the form clear and easy to use.
GeneralWhich languages can I use EVANU Einlass in?
EVANU Einlass is available in German, French, Italian and English. The language of your customer registration is assigned to your account when it is created.
Your dashboard and account communications use this account language. There is no language switcher in the customer area. Contact us if the assigned language is incorrect.
LanguagesCan a single event support multiple languages at the same time?
An event uses one fixed language. When created, it inherits the language of your customer account. Public registration and standard communications therefore use the same language.
Guests do not have a language switcher within an event. You write your own form questions, information texts and custom email content in the desired language. These contents are not translated automatically.
Changing the account language later does not automatically change the language of existing events. If you want to offer the same occasion in multiple languages, discuss the appropriate setup with us.
Event languageHow do I create a new event?
You create a new event directly in your customer area.
You define details such as the event name, date, start and end times, and the period during which registration is open.
You then configure the form, design, texts, email communication and other settings.
EventsDoes my event have its own web address?
Yes. Each event has its own page on the Einlass platform.
https://einlass.evanu.ch/event/mein-event/
You can use this address in invitations, personal mailings, newsletters or on your website.
EventsCan I hide my event from Google and other search engines?
Yes. You can specify that your event page should not be indexed by search engines.
This is particularly useful for private client functions, internal events, VIP occasions or invitation-only events.
EventsCan I run private or invitation-only events?
Yes. In your event settings, under “Registration access” select “Private · personal invitation link or guest code”.
In the “Manage invitations” section, you create your guest list. Invited guests receive a personal registration link or guest code. The general event link alone is not sufficient to register for a private event.
Private events are also excluded from search engine indexing. The search engine setting alone does not replace private invitation access.
EventsHow do I manage the guest list for a private event?
Set your event access to “Private” and open “Manage invitations”. You can create invitations or import a guest list as a CSV file there.
Invitations are linked to personal registration links and guest codes. You can design a suitable invitation email and invite the relevant guests to register.
After importing, check the displayed data and test an invitation before contacting the entire guest list.
Private guest listCan I decide when registration opens?
Yes. You can define a registration period for your event.
Your event page can already exist while registration is still closed.
In that case, a clear message explains that registration is not yet available.
EventsCan I duplicate an existing event?
Yes. You can duplicate an existing event as the starting point for a new one. This is particularly useful for recurring events with similar forms, texts and settings.
Participants and check-ins are not copied. The new event starts with its own guest list. After duplicating, check the date, registration deadlines, event address and communications in particular.
Check the billing and activation information for the new event shown in the duplication dialog.
EventsCan I limit the number of participants?
Yes. Under “Max. participants” you can set a maximum capacity for your event. Registered accompanying guests are also counted.
New registrations are accepted only if enough places remain for the whole registration. You can see the current occupancy in the event statistics.
CapacityWhy isn’t my event live yet even though the form is configured?
For guests to register, the event must be activated and the registration period must be open. A prepared form alone does not mean registration is already open.
In the dashboard, check the activation status, any outstanding invoice and the fields “Registration opens on” and “Registration closes on”. With an annual subscription, the event date must fall within the activated subscription period.
You can check your event in the preview during preparation. We’ll be happy to help if anything about activation is unclear.
ActivationHow do I check my event before publishing it?
The customer area includes an event configuration check. It highlights errors and points to review, including event details, form rules, communication and activation.
Fix the errors and review the notes. Then open the preview and check the process from a guest’s perspective. For private events, this also includes setting up the guest list.
Send a test email before going live and check how it displays on smartphones and desktops.
Before going liveHow flexible is the form editor?
The form editor lets you create even sophisticated registration forms without programming knowledge.
Available options include:
- text fields
- single choice
- multiple choice
- required and optional fields
- sections with one, two or three columns
- conditional fields
- accompanying guests
- information sections
- consent fields
- links to privacy policies
What are dynamic fields?
Dynamic fields respond to an earlier answer. Your guest therefore sees only the questions relevant to their situation.
This lets you handle complex registration processes without making the form unnecessarily long or complicated for the guest.
FormsCan different guests see different questions?
Yes. You can link selection fields to conditional fields.
Sponsors, media representatives, VIP guests, employees and regular guests can therefore receive different additional questions within the same event.
Sections that aren’t needed are completely hidden.
FormsCan I arrange my form in multiple columns?
Yes. You can arrange content in sections with one, two or three columns.
On smaller screens, the layout automatically adapts for mobile devices.
FormsCan my guests register accompanying guests?
Yes. Accompanying guests can be configured as a separate part of registration.
Depending on your event, you can collect their number and additional details about them.
You can also configure separate email communication for accompanying guests if needed.
FormsCan I display additional information above or below the form?
Yes. Your registration page has a separate information text section.
You can place it above or below the form and format it freely.
This section is useful for directions, dress codes, parking details or other practical information.
FormsCan I display my logo on the registration page?
Yes. You can add a customer or event logo to the registration page.
This helps integrate registration into your existing event communication and branding.
FormsCan I include a data protection consent field?
Yes. You can include consent checkboxes in your form and make them required if needed.
The accompanying text can include a direct link to your privacy policy or another relevant information page.
PrivacyCan I add contact details to the event page?
Yes. You can maintain a dedicated contact information section at the bottom of your registration page.
You can include the organiser, contact person, email address, phone number or useful links.
FormsDo my guests automatically receive a confirmation?
Yes. After successful registration, a customised HTML confirmation email can be sent automatically.
You can include event information, personal details, practical instructions and the personal QR code.
Emails & QRCan I design the confirmation email myself?
Yes. Einlass has an HTML email editor.
You can design texts, formatting and images directly for your event.
Placeholders are also available to insert personal or event-specific information automatically.
Emails & QRCan different guests receive different confirmation emails?
Yes. Alongside the standard email, you can create additional variants and link them to conditions.
Can guest groups also receive different reminders?
Yes. In the email variants section, you can add conditional content for different guest groups, such as sponsors, VIP guests or regular guests, alongside the standard communication.
You can use suitable variants for reminders too. Link the variant to the relevant form selection and check the conditions before sending.
Email variantsCan I test my emails in advance?
Yes. The test email function in the email section lets you check content, formatting, images and placeholders. Pay particular attention to the QR code and the intended links.
A test email is not a real guest registration. Its test QR code does not create a real check-in. Editing and cancellation links may use test views.
For a complete test including the participant record and admission, you can also make a real test registration on your activated event page.
Test emailsAre the standard emails also translated?
Yes. System and standard templates are available in German, French, Italian and English. They use the same EVANU branding and the relevant account or event language.
You can customise the guest emails for your event. Your own texts and deliberately created variants are not translated automatically. Check your own content in the event language as well.
Translated templatesCan Einlass send automatic reminders?
Yes. In your event’s email section, you can activate the reminder and choose to send it between 1 and 7 days before the event. The default is 7 days. You can also disable the reminder.
You design the content independently of the confirmation email. This lets you repeat the admission time, directions, meeting point or other important information.
You can set up a separate reminder email for accompanying guests if needed.
Emails & QRCan I automatically send a thank-you email after the event?
Yes. You can activate a follow-up email and schedule it between 1 and 7 days after the event. The reference point is the event end; if no end is set, the event start is used.
You design the content separately. You can thank guests, share additional information or add a link to an external feedback survey.
You can also set up a separate follow-up email for accompanying guests if needed.
follow-up emailHow does the personal QR code work?
After registration, each guest can be assigned an individual QR code.
It is displayed directly in the confirmation email, for example.
At the event, the Einlass scanner reads the code and the server matches it to the correct registration.
A manual registration code can also be displayed beneath the QR code. If the QR code cannot be read, you can enter that code manually at check-in.
QR codeAre guests’ personal details stored directly in the QR code?
The QR code refers to a registration. The actual participant information is retrieved on the server.
The name, address and other form details therefore do not need to be carried directly in the visible QR code.
PrivacyCan my guests correct their details later?
Yes. A personal editing link lets participants update their saved registration details later.
In the event details, under “Existing registration editable until” you can set a separate deadline. It can be later than the registration closing date. Without a separate deadline, the registration closing date applies, or otherwise the event start.
Include the editing link in your communications so guests can reopen their registration themselves.
Emails & QRCan guests cancel their registration themselves?
Yes. A personal cancellation link lets a guest cancel their registration. You can include it in the confirmation and reminder.
In the event settings, you can also enable “Ask for cancellation reason” and define your own reasons. When cancelling, the guest can select a reason and optionally add a comment.
The cancellation is saved with the registration and can be reviewed in participant management.
CancellationHow does check-in work at the venue?
Your event has its own browser-based scanner interface.
Your check-in team opens the scanner on a suitable device and scans the guest’s QR code.
A successful scan is immediately confirmed visually. An audible confirmation can also be provided.
Check-inDoes my check-in team need my customer password?
No. The scanner uses a separate event-specific login or token.
Your check-in team therefore does not need full access to your customer account or event editor.
Check-inCan several people scan at the same time?
Yes. You can use multiple scanning devices in parallel at an event.
This is particularly important for larger events with multiple entrances or check-in stations.
Check-ins are processed centrally so all devices work with the same data.
Check-inWhat happens if the same QR code is scanned again?
The check-in status is maintained on the server. The system can therefore detect that a registration has already checked in.
Your check-in team can immediately see when an already used QR code is presented again.
Check-inCan I also enter a registration code manually?
Yes. Manual entry is available alongside the camera.
This is useful if a screen is damaged, a QR code is hard to read or a device’s camera is unsuitable.
Check-inCan I embed the registration form on my own website?
Yes. You can embed your registration form directly on an external website.
Embedding works with any website system that allows HTML or an iframe to be added.
The form remains fully connected to EVANU Einlass. Registrations therefore go directly to the correct event without needing to synchronise two systems.
<iframe
src="YOUR-EMBED-URL-FROM-EINLASS"
title="Event registration"
width="100%"
height="900"
frameborder="0"
loading="lazy"
style="width:100%;border:0;"
></iframe>
The embedded version discreetly displays the label “Powered by EVANU”.
EmbeddingDo I need to maintain the embedded form separately?
No. The embedded form uses the same event configuration and form logic as Einlass.
When you change your form in Einlass, you therefore don’t need to update a second form version on your website.
EmbeddingIs the embedded form version indexed by search engines?
The embedded view is intended for use within another website and is handled separately from the normal public event page.
Indexing is disabled for the embedded view so an additional standalone form page does not appear in search engines.
EmbeddingWhat options are available for badge printing?
EVANU Einlass supports two methods for automatic badge printing:
- Online Printing: Printing runs directly through a browser on a print PC at the venue. This option is suitable for a Windows PC with a Brother printer or another Windows-compatible printer.
- EVANU Printer API: For professional external badge, printing or event systems that process print jobs through their own software or print agent.
The right option depends on your printing environment. For a single print PC, Online Printing is usually the simplest approach. Professional printing providers can use the Printer API.
Online Printing & APIWhat is Online Printing?
Online Printing is EVANU Einlass’s browser-based printing solution.
The event’s Online Printing page is opened on the print PC. When a suitable print job is available, the browser can send it directly to the printer configured on the computer.
A badge can therefore be printed immediately after a successful check-in without the check-in team having to find the guest again in separate printing software.
What do I need for Online Printing at the venue?
For a typical Online Printing station, you need:
- a Windows PC or comparable printing device,
- a correctly installed printer,
- the correct printer driver,
- Firefox, Google Chrome or Microsoft Edge,
- an internet connection to EVANU Einlass,
- the Online Printing page for the relevant event.
A typical setup is an external Windows PC with a connected Brother printer. The printer must already work normally in Windows before you set up Online Printing.
Why does a print dialog still appear during automatic printing?
For security reasons, browsers prevent a website from printing automatically and silently without explicit permission.
You therefore need to configure Silent Printing or automatic printing once on the print PC you will use.
EVANU Einlass cannot change this setting automatically. It is a browser security feature.
How do I enable Silent Printing in Firefox?
In Firefox, Silent Printing is enabled through the browser’s advanced configuration.
On the print PC, follow these steps:
- Open Firefox and enter about:config in the address bar.
- If prompted, confirm that you want to open the advanced settings.
- Search for print.always_print_silent.
- Set the value to true.
- Close the configuration page, then open Online Printing.
print.always_print_silent = true
First configure your desired printer and the correct badge format with a normal test print. Firefox can then print without an additional print dialog.
FirefoxHow do I enable Silent Printing in Google Chrome?
For automatic printing, Chrome is launched with the startup parameter –kiosk-printing.
On a Windows print PC, follow these steps:
- Close all open Chrome windows.
- Create a dedicated Chrome shortcut for EVANU Online Printing.
- Right-click the shortcut and open its properties.
- In the Target field, add a space after the existing Chrome path, followed by –kiosk-printing.
- Always launch Chrome using this shortcut afterwards.
--kiosk-printing
Chrome uses the existing print configuration. The badge printer should therefore be correctly installed in Windows and configured as the desired default printer.
How do I enable Silent Printing in Microsoft Edge?
The setup in Microsoft Edge is similar to Chrome.
- Close all open Edge windows.
- Create a separate Edge shortcut for Online Printing.
- Open the shortcut’s properties.
- In the Target after the existing program command. –kiosk-printing.
- Then launch Edge using this shortcut.
--kiosk-printing
The printer and its default settings should also be configured and tested in Windows beforehand.
Microsoft EdgeDoes Online Printing work with Firefox, Chrome and Edge?
Yes. Online Printing is designed for the common desktop browsers Firefox, Google Chrome and Microsoft Edge.
The Online Printing page itself is the same. Only the one-time automatic printing setup differs:
-
Firefox:
print.always_print_silent = trueinabout:config. -
Chrome:
Start the browser with
--kiosk-printing. -
Edge:
Start the browser with
--kiosk-printing.
For live use, choose one browser per print station and fully configure and test it before the event.
BrowserDoes the customer need to set up Silent Printing themselves?
Yes, once on the print PC being used.
EVANU Einlass cannot automatically change a local browser’s security configuration. The setting must therefore be made on the computer that will print the badges.
The configuration normally remains in place afterwards: Firefox stores the setting in the browser profile. For Online Printing, Chrome and Edge are launched using the prepared shortcut with –kiosk-printing.
How do I set up an external Windows PC with a Brother printer?
A typical setup could look like this:
- Install the printer’s current Windows driver.
- First check outside EVANU that the printer works normally in Windows.
- Set the correct paper or badge size, orientation and other required options in the printer driver.
- Set the badge printer as the desired default printer if you use Chrome or Edge for Online Printing.
- Then configure Silent Printing in Firefox, Chrome or Edge.
- Open the event’s Online Printing page and make several test prints.
Use the station for live operations only once the test prints are correctly positioned and printed reliably.
Windows & printerCan I make several test prints before the event?
Yes. The test print function is specifically intended to help you set up the print station thoroughly before live use.
You can repeat test prints until the paper size, positioning, scale, print quality and printer assignment are correct.
For an event with automatic badge printing, test the complete chain from the test job to the actual printed badge.
Test printWhat needs to stay open on the print PC during the event?
During automatic Online Printing, the event’s Online Printing page must remain open in the browser configured for it.
The browser connects the available print jobs to the locally installed printer.
Launch Chrome or Edge using the prepared Online Printing shortcut. In the Firefox profile being used, print.always_print_silent = true must be set.
Live operationsWhat happens after a successful check-in?
If automatic printing is configured for the event, a successful check-in can directly create a print job.
The check-in team therefore doesn’t need to find the participant again in a separate print view.
Depending on the printing solution, the job is sent to the local browser through Online Printing or to an external system through the EVANU Printer API.
Automatic printingWhat should I do if a print dialog suddenly appears again during check-in?
Silent Printing is probably not active in the browser currently being used.
Check the following depending on the browser:
-
Firefox:
Open
about:configand check thatprint.always_print_silentis actually set totrue. -
Chrome:
Close Chrome completely and restart it using the shortcut with
--kiosk-printing. -
Edge:
Close Edge completely and restart it using the shortcut with
--kiosk-printing.
Also check that the correct printer is available and properly configured in Windows.
TroubleshootingWhat is the EVANU Printer API?
The EVANU Printer API is the interface for professional external badge, printing and event systems.
It is suitable when an event technology or badge provider uses its own local printing software, multiple professional printers or its own print agent.
Access is authorised per event. An external provider therefore does not automatically gain access to other events or your entire customer account.
Printer APIWhat is the difference between Online Printing and the Printer API?
Both options can be used for automatic badge printing but are designed for different printing environments.
- Online Printing: A browser on the local print PC handles printing. This option is ideal for a simple station with a printer installed in Windows.
- Printer API: External software or a professional print agent handles the print jobs. This option is suitable for larger or existing printing systems.
The check-in itself can remain the same in both cases. Only the processing of the subsequent print job differs.
Online Printing & APICan a badge be printed automatically immediately after a QR scan?
Yes. Yes. This is exactly what Online Printing and the printer integration are designed for.
A print job can be triggered automatically after a successful check-in.
With Online Printing, the configured browser processes the job. With an external integration, a print agent or printing system can handle it through the Printer API.
Automatic printingCan I use multiple professional badge printers at the same time?
Yes. In a professional setup, an external printing system or print agent can manage multiple physical printers.
The connected printing solution handles the distribution of jobs across the individual printers.
Separate print stations are also possible if the event and printing configuration is set up accordingly.
Printer APIHow is the Printer API secured?
API access is event-specific and can be authorised using a dedicated token.
An external provider can therefore access the required event without using your normal customer account.
Authorization: Bearer YOUR_EVENT_API_TOKEN
What does a technical API request look like?
The exact API address and the functions enabled for your event are provided through the relevant EVANU Einlass integration.
A typical request could look like this:
curl \
-H "Authorization: Bearer YOUR_EVENT_API_TOKEN" \
-H "Accept: application/json" \
"YOUR_API_URL_FROM_EINLASS"
How are duplicate badge prints prevented?
Print requests are processed as separate jobs, allowing each job’s current status to be checked.
With professional API integrations, a print agent can claim an open job in a controlled way, preventing parallel stations from treating the same job as a new print request simultaneously.
If a badge needs to be printed again intentionally, a separate reprint can be triggered.
Printer APIWho can see my event’s participant data?
Your events are assigned to your customer account. In your customer area, you manage data for your own events.
Scanner and API access can be granted separately for each event.
Your check-in team therefore doesn’t need your full customer login.
Data & privacyCan I search registered guests?
Yes. You can view and search registrations within the platform.
This helps you find individual guests quickly both during preparation and on the event day.
DataCan I export participant data?
Yes. You can export registration data as CSV and download the admission list as a PDF.
Dynamic form fields are also included in a stable data structure. You can use the data for further event planning or prepare an admission list for your team.
DataWhat happens if I add new form fields later?
Existing registrations are retained.
New fields are added to the data structure. Older records won’t yet have a value for those new fields.
DataAre there statistics for my event?
Yes. Statistical summaries and charts are available in the event area.
You can track important figures directly in the dashboard without manually analysing tables first.
StatisticsWhere can I edit my customer details?
You can manage your account’s profile information in your customer area.
These include company details, address information and other administrative details.
AccountWhere can I find my invoices?
Your customer area includes a dedicated accounting section.
You can view your invoices and open the corresponding PDF documents there.
The information is kept synchronised with EVANU’s central administrative management.
Account & accountingHow does billing per event or with an annual subscription work?
When creating your account, you choose billing per event or an annual subscription. The applicable prices are shown in the registration and accounting sections.
With per-event billing, the individual event is billed and becomes usable after activation. With an annual subscription, the event date must be covered by the activated subscription period.
You can find your current plan, subscription period and related invoices in the customer area.
BillingDoes my annual subscription renew automatically?
Before expiry, you receive a renewal request. You can explicitly decide whether to renew your annual subscription.
Only after your consent is a renewal invoice created. The new period is activated after payment is received. A request or reminder alone does not constitute a confirmed renewal.
If you don’t renew, your current subscription remains active until it expires. No renewal invoice is created. You can also check your status in the accounting section.
annual subscriptionCan I manage multiple events in my customer account?
Yes. Your customer account can contain multiple events.
The event overview helps distinguish ongoing, completed and locked events.
Everything stays in one central place, including for recurring events.
